Description
One of the first human genetics departments in the country, the Department of Medical and Molecular Genetics at IU School of Medicine has a rich history of training geneticists and genetic counselors and providing genetic consultation and counseling services. Currently ranked 5th in the nation among Genetics Departments for NIH Funding, received in 2023, the department contributes to the understanding of numerous genetic conditions through the integration of basic research in genetic and genomic mechanisms, translational research in disease models, and clinical trials in rare and common genetic diseases.Job Summary
Department Specific Responsibilities
- Serves as a key administrative resource for the Clinical Division of Medical and Molecular Genetics, supporting faculty, staff, students, and residents with operational tasks including meeting coordination, travel arrangements, registration processes, itinerary planning, room reservations, purchasing needs, and both clinical and research-related activities.
- Coordinates the activities of the Division Director of Clinical Genetics, including scheduling meetings and travel; managing the Director's calendar; preparing and submitting reimbursement forms and receipts; and drafting correspondence as requested.
- Oversees the administrative functions of the Medical and Molecular Genetics residency program.
- Coordinates residency application and evaluation processes.
Manages educational workflows and maintaining national residency program databases. - Organizes residency recognition events and coordinating elective rotations in genetics for medical students and residents from non-genetics subspecialties.
- Provides administrative support for clinical research studies within the department, including maintaining and updating research databases (e.g., OnCore, REDCap) to ensure efficient storage, tracking, and retrieval of protocol-related information.
- Provides administrative support to executives, exercising confidentiality, tact and diplomacy.
- Utilizes business software applications to prepare correspondence, reports, presentations, agendas, minutes, etc.
- Receives, screens, and directs incoming calls, visitors, mail, and email promptly, courteously, and accurately.
- Manages executive's calendar, meetings, travel, correspondence, and budget.
- Acts as informal resource for colleagues with less experience; responds to more complex or escalated inquiries.
- Identifies, enhances, and follows specific processes and procedures to maximize the efficiencies of the business to which the support is being provided.
- May perform other duties related to maintaining an internal website and/or working with social media.

EDUCATION

- High school diploma or equivalent (such as HSED or GED).

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
Additional Information
This position is grant funded with expected annual renewals. Renewals are contingent on the availability of grant funds.
This position is not eligible for visa sponsorship.

This position is eligible to work a hybrid schedule (mix between remote and in-person work), subject to change in the future based on university policy and business needs.
Advertised Salary
$49,225.60 per year to $54,225.60 per year based upon experience and internal equity within the department.
